Board Position and Committee Chair Position Descriptions

2019-2020 SChool Year: 

Board positions:

PRESIDENT - Filled

Shall call a meeting of the newly-elected officers to; appoint a historian and a parliamentarian, subject to the approval of the executive board within thirty (30) days after the election;  appoint standing committee chairs, subject to the approval of the executive board;  coordinate the work of the officers and committees of the association in order that the purposes may be promoted;  confirm that a quorum is present before conducting any business at any meeting of the association;  preside at all meeting of the association;  be authorized to sign on bank accounts that have been approved by the executive board;  be listed as the principal officer and be authorized to sign tax documents;  confirm the executive board has reviewed and the membership has adopted the Texas PTA /PTSA Record Retention Policy annually;  appoint a member, subject to the approval of the executive board, who is not authorized to sign on the bank account to open, review, initial and date each bank statement;  represent the Local PTA as a delegate to Council PTA (when the Local PTA is in membership with Council PTA);  file with the Council  PTA secretary the name of delegates and alternates from the Local PTA by the first regular Council PTA meeting and no later than October 1st.  A local PTA  joining or making changes after October 1st shall submit any changes in writing prior to any regular meeting in order to be eligible to vote;  confirm that all executive board members are graduates of the current Texas PTA Leader Orientation of have completed the course by October 15th after the election;  send the name and addresses of the officers and chairs to the Texas PTA office by May 1st  each year;  appoint the financial reconciliation committee, subject to the approval of the executive board, and  serve as an ex-officio member of all committees except the nominating and financial reconciliation committees.  Attends all board and general PTA meetings.

1st VICE PRESIDENT - Filled
Shall be the aide-to-the-president (and be in charge of programs); and preside in the absence of the president (in their designated order).  Attends all board and general PTA meetings.

2nd VICE PRESIDENT - Filled
Shall be in charge of fundraising; and preside in the absence of the president (in their designated order).  Attends all board and general PTA meetings.

TREASURER - Filled
Shall have custody of all the funds of the association; keep books of account and records including bank statements, receipts, budgets, invoices paid receipts and canceled checks in accordance with the records retention policy;  make disbursements in accordance with the budget adopted by the association;  sign on bank accounts as one of two required signatures on all checks;  present a financial report, both written and verbal, at every meeting of the Local PTA and as requested by the executive board of the association;  make a full report at the annual meeting;  be responsible for the maintenance of such books of account and records as conform to the requirements of Article V, Section 3 of the bylaws;  complete and file all necessary tax documents and present books to the financial reconciliation committee as requested..  Attends all board and general PTA meetings.

SECRETARY- Filled
Provides accurate minutes of the proceedings.  Minutes should be typed out in a timely manner of 3-5 days after the meeting to ensure accuracy.  Maintain records and handle correspondences. Attends all board and general PTA meetings.

PARLIAMENTARIAN - Filled
Shall advise the presiding officer on questions of parliamentary procedure, and vote only when the vote is by ballot.  Attends all board and general PTA meetings.
      

Committee POSITIONS:

ADEPT (Alcohol and Drug Education, Prevention, and Training) - FIlled 
Works with school counselors to schedule and organize events for Red Ribbon Week. This includes decorating the school and conducting poster contest using the District theme. Arranges campus level judging and awards. Acts as campus liaison to students whose entries advance.

ARTS IN EDUCATION - OPEN
Encourages and organizes student participation in the PTA REFLECTIONS PROGRAM. Arranges campus level judging and awards. Acts as campus liaison to students whose entries advance. 

BOX TOP COORDINATOR - OPEN
Promotes school wide submission of Box Tops labels. Works with campus coordinator to set goals and incentives. Promotes, counts, and submits labels for monetary redemption to the school.   

COUNCIL DELEGATE - OPEN
Attends ALL Northeast Council meetings in order to relay the latest district information to the local unit. (The six meetings are at 9:30 a.m. at Piper-Bass Student Center)

ENVIRONMENTAL - OPEN
Organizes and encourages student participation in PTA poster contest. Arranges campus level judging and awards. Acts as campus liaison to students whose entries advance. 

FACULTY APPRECIATION - FILLED
Organizes and oversees recognition of school employees on selected occasions with events and token gifts including birthdays and luncheons.

HOSPITALITY - OPEN
Organizes provisions and sets up/serves refreshments at board PTA Meetings and other functions.  

LIFE MEMBERSHIP/FOUNDERS DAY - FILLED
Collects life membership nominations and submits paperwork to the Texas State PTA. Coordinates volunteers to assist with banquet invitations, name tags, and setting up at event in February.

MEMBERSHIP - OPEN
Promotes, recruits and encourages individuals to join. Collect dues and prepares/issues cards.  Submits information to Texas State PTA. Maintains current membership list. 

NOTIFICATION – Care & Concern - OPEN
Conducts all correspondence relating to the association, including gratitude, sympathy, and
congratulations, according to procedures detailed in the bylaws.  

 
SPECIAL NEEDS - OPEN
Represents and acts as liaison for the special needs community of Driscoll. Can include parent education and support opportunities as needed.

VOLUNTEER COORDINATOR - filled
Coordinates volunteers as needed for various school functions. Collects, maintains, and distributes volunteer information to appropriate committees. Provides training as necessary. 

WEBSITE - open
Maintains web pages on the Driscoll PTA website to inform families of pertinent information.  

WORKROOM - Open
Secures and schedules daily/weekly volunteers to make copies for the school staff. 

8th GRADE PARTY - Filled 
Works with the school administration to schedule and plan the 8th grade party in May.
